Where conversations involve sensitive information, agree on the limits of intake with your team. An appointment service should not be presented as a diagnostic or specialist advisory service.
Confirm the details clearly
Repeat the date, time, time zone and location or meeting format. For a remote appointment, explain how the meeting link will be sent. When people are in different provinces, check the local time for both participants.
The confirmation should explain how to report a scheduling conflict. Choose a reminder channel based on customer preferences and your agreed arrangements; avoid sending unnecessary repeat messages.
Make changes part of the workflow
When a customer cancels or reschedules, update the calendar and notify the right colleague. Distinguish confirmed appointments, callbacks and bookings awaiting approval. Clear status information prevents the same enquiry from being handled repeatedly.
