Start with a clearly defined use case
Choose a simple task: route an enquiry, explain service steps or collect the details needed for a callback. Specify approved answers and questions your team must review. Useful automation has a clear scope.
For a bilingual Canadian business, test the workflow in English and French. The system should handle the wording your customers use and retain the same meaning in both languages.
- Common questions with approved answers
- Information required to qualify an enquiry
- Situations that require a handoff
- A process for correcting outdated or inaccurate information
Plan the human handoff from the beginning
An unusual request, complaint, uncertain answer or explicit request for a person can trigger a handoff. Define what the agent receives: the reason for the enquiry, information already collected and the expected next action.
If an agent is unavailable, the system should explain the agreed next step, such as taking a message. An automated tool’s availability does not mean a human team is available around the clock.
Stay in control of the information used
Identify the documents behind the answers, who maintains them and the access required. Avoid giving a tool more information than it needs for the defined task.
Processing locations, conversation retention and access arrangements should be reviewed with the provider before implementation. Using AI does not by itself guarantee compliance or confidentiality.
Evaluate quality using real conversation scenarios
Test routine, ambiguous and unrelated requests. Check answer accuracy, handoffs and the quality of summaries sent to agents. A quick but incorrect answer can create extra work for your team.
With AlloCall, you can discuss how agents and automation tools could work together for your business. Define the scenario, languages and human handoff first, then confirm integrations and coverage in the agreed service scope.
